At QuietRoutes, we understand that travel plans can change unexpectedly.
We aim to keep our cancellation policy fair, transparent, and flexible while also respecting the reservations, hotels, transport, and local services arranged in advance for your journey.
Please read it carefully before confirming your trip.
1. Payment Policy
You can book both day trips and multi-day trips with QuietRoutes.
1) Day Trips
To keep your travel experience smooth and well-organized, full payment is required in advance for all day trips:
- Off-season: At least 7 days before departure
- Peak season & public holidays: At least 14 days before departure
This helps us secure guides, transportation, tickets, and local arrangements ahead of time, especially during busy travel periods.
2) Multi-Day Trips
For multi-day journeys, we offer two flexible payment options:
Option 1 — Full Payment
Pay the full tour balance in advance for complete confirmation and planning convenience.
Option 2 — 20% Deposit Reservation
Reserve your trip with a 20% deposit, with the remaining balance paid before departure.
Please note: The 20% deposit is NON-REFUNDABLE under any circumstances, as we begin confirming hotels, transport, guides, tickets, and other travel arrangements shortly after your booking is confirmed.
2. Cancellation & Refund Policy
We truly appreciate your understanding, as many travel arrangements are confirmed and prepaid in advance. Whenever possible, we’re also happy to help explore alternatives.
If you still decide to cancel the order, the following refund rules apply:
1) Day trips
- More than 72 hours before departure: 100% refund
- 48–24 hours before departure: 50% refund
- Less than 24 hours before departure: No refund
2) Multi-Day Trips
- 14 days or more before departure: 100% refund
- 11–13 days before departure: 70% refund
- 8-10 days before departure: 50% refund
- 7 days or less before departure: No refund
3. Partial Cancellation of Trip Components
If you need to cancel part of your trip itinerary, such as certain days, activities, hotels, or transportation services, we will always do our best to assist and minimize any losses whenever possible.
Please note: Refunds for partial cancellations depend on the policies of hotels, transportation providers, ticket suppliers, guides, and other local partners involved in your trip.
Depending on the specific service:
- Some arrangements may be fully non-refundable
- Some may qualify for partial refunds
- Some may allow date or itinerary changes instead of cancellation
The good news is that QuietRoutes will never charge additional service fees for handling partial cancellation requests.
4. No-Show Policy
If a traveler does not arrive on the scheduled trip start date without prior notice, the booking will be treated as a no-show, and all payments made will be non-refundable.
If you experience unexpected delays or emergencies, we strongly encourage you to contact us as soon as possible. We will always try our best to help where we can.
5. Changes to Your Booking
We understand that travel plans can evolve, and we’ll always try our best to accommodate reasonable changes to your itinerary.
Changes may depend on factors such as:
- Hotel and supplier availability
Seasonal demand and peak travel periods - Train, flight, or attraction ticket policies
- Hotel cancellation and modification rules
Whenever possible, we will help adjust your trip without additional service fees. If any extra costs are required by hotels, transportation providers, or ticket suppliers, we will always inform you clearly before confirming the changes.
6. Cancellation by QuietRoutes
In rare situations, QuietRoutes may need to cancel or adjust a trip due to circumstances beyond our control, including but not limited to:
- Natural disasters
- Extreme weather conditions
- Political or regional instability
- Supplier or transportation disruptions
- Safety or operational concerns
If this happens, we will always communicate with you as early as possible and do our best to minimize any inconvenience.
Travelers will be offered:
- A full refund of all payments made to QuietRoutes, or
- The option to reschedule, modify, or adjust the itinerary
Please note that QuietRoutes is not responsible for cancellation costs related to flights, visas, insurance, or other travel arrangements not booked directly through us.
7. Force Majeure
Travel can occasionally be affected by unexpected events outside anyone’s control. These may include, but are not limited to:
- War or regional conflicts
- Transportation disruptions or regional closures
- Natural disasters such as earthquakes, floods, landslides, or severe weather
- Government restrictions or regulations
- Public health emergencies, including epidemics or pandemics
In these situations, QuietRoutes will make every reasonable effort to coordinate with hotels, transportation providers, attractions, airlines, cruise companies, and other suppliers to help adjust or recover your travel arrangements whenever possible.
However, refunds and compensation will depend on the policies and recoverable amounts provided by the relevant suppliers. QuietRoutes’ liability is limited to the amount refunded by those suppliers, and we are unable to provide additional compensation beyond that amount.
We strongly recommend purchasing comprehensive travel insurance to help protect against unexpected disruptions or cancellations.
8. Refund Processing
We aim to make the refund process as smooth, transparent, and efficient as possible.
How Refunds Are Processed
1) Submit Your Request
Please contact our customer support team at [email protected] with your cancellation or refund request. To help us process it quickly, kindly include:
- Your itinerary or booking details
- Payment screenshots or transaction records
- The reason for cancellation or adjustment
2) Review & Confirmation
Refund requests are typically reviewed within 3–5 business days after we receive all necessary information.
3) Refund Method
Once approved, refunds will be returned to the original payment method used during booking.
4) Bank Processing Time
Depending on your bank, PayPal, credit card provider, or payment platform, the refund may take approximately 5–10 business days to appear in your account.
Important Notice: Please note that some international payment providers (such as PayPal or certain overseas payment gateways) may charge an international transaction fee, usually around 4–5%. These charges are collected directly by the payment platform or bank and are generally non-refundable.
We appreciate your understanding and will always do our best to assist throughout the process.
9. Policy Updates
To keep our policies clear, fair, and up to date, QuietRoutes may revise or update this Refund & Cancellation Policy from time to time.
Any changes will be published on this page along with the updated effective date. We encourage travelers to review the policy before booking or confirming any trip arrangements.
By continuing to use our website or book travel services with QuietRoutes after updates are posted, you acknowledge and accept the revised Refund & Cancellation Policy.
